Qualifications/Job Description
Manages the Firm’s Payroll activities including completion of all payrolls, payment and filing of associated taxes and preparation of all special reports.
Principal Duties and Responsibilities:
- Manages performance of Payroll staff to ensure internal proficiency in the accurate processing of the biweekly and monthly payrolls
- Maintains federal, state and garnishment compliance.
- Analyzes tax and accounting impact of payroll transactions. Works with Tax Department to ensure Ex-Pat payroll transactions are properly recorded.
- Audits all payroll transactions and reports.
- Implements best practices, recommends and implements business process improvements, interprets IRS rules and regulations and maintains internal policies related to payroll.
- Supports new projects, initiatives, implementations and upgrades as necessary.
- Maintains confidentiality of all department data.
- Maintains payroll calendars and coordinates with HR to update Peoplesoft HRIS; works with ADP to ensure proper processing and transmissions of payrolls.
- Delegates work and make decisions regarding employment and performance evaluations.
- Develops and maintains departmental measurements of performance and success.
- Coordinates quarterly and year-end tax reconciliations as well as preparation of W-2’s, including review of W-2 audit and W-2C’s as necessary.
- Prepares ad hoc reports from Reportsmith for management as needed.
- Responsible for all monthly payroll journal entries. Works with G/L group to reconcile any issues.
- Assists with budget projections for overtime, taxes and payroll service expenses.
- Responsible for coordinating internal/external audit preparation and support.
- Assists with proactively supporting client service by actively participating in the Firm's Service Excellence initiative.
- Ensures that staff members are providing quality service to internal members/departments of the Firm as well as external clients and vendors by displaying professionalism via electronic and print correspondence, over the telephone and in-person and by encouraging an atmosphere that rewards a "can do" attitude.
Experience Required:
- Minimum of 7-10 years of experience in a similar role.
- Proficient with ADP PCPW version 5.1, Reportsmith, ADP Adjustmate, Enterprise eTime,
ADP Connection and ADP G/L.
- Ability to create and maintain various reports within Reportsmith and Excel for management reporting.
- Strong aptitude towards systems set up, maintenance and administration.
- Prior Law Firm experience a plus.
- Strong organization skills including the ability to delegate and prioritize.
- Excellent written and verbal communications skills.
- Solid multi-state payroll experience along with payroll tax laws and reporting requirements along with experience processing Ex-Pat payroll transactions.
- Experience in problem solving and analytical review of payroll related information.
- Ability to instruct and train others.
- Ability to work in fast paced deadline driven environment.
- Ability to effectively communicate issues and status, both upwards and downwards.
- Excellent computer skills and ability to develop and create reports.
Education:
- Bachelor’s degree in Accounting preferred.
- CPP Payroll certification preferred.
